Have a look at the filter "where the message has attachments"... it has all the exes, *.com, *.scr already listed that you are talking about

I have seen this. When people use Phones/Pads etc they create their own flavour of "Sent", Trash, Sent Messages etc. Also happens with different mail clients. I use the filter "where the message has attachments and added *.rar and *.zip to that. Send them to Quarantine.

Check/disable firewalls on your server? there may be a block on smtp, imap etc You should be able to send mail without dns by just using the IP Address everywhere of the server for connection. Its an address book thing... Play around in the Address Book area of outlook and in there is an option to push up the Mail Enable GAL to the top of the list.
