How to add a message header to suppress Auto Responder notifications when forwarding messages.


SUMMARY

This article explains how to add a message header to suppress Auto Responder notifications when forwarding to mailboxes with the Auto Responder option enabled. This will prevent the recipient mailboxes Auto Responder notification message from being sent back to the original sender address.

DETAIL

To suppress the Auto Responder notification message being sent back to the original sender address for a redirected messsage a mailbox level filter is needed to trigger on the original recipient mailbox.

NOTE: Mailbox level filtering is an exclusive feature to MailEnable Enterprise editions.

  • Open the MailEnable Enterprise administration console
  • Expand: Messaging Manager > Postoffices > (postoffice name) > mailboxes.
  • Locate the original recipient mailbox of the message.
  • Double click the mailbox to open the mailbox properties window.
  • Navigate to the "Filters" tab.
  • Tick the checkbox for "Enable filters for this mailbox"
  • Click the "add..." button and specify a name for the new filter. i.e: Auto Responder Redirect Filter
  • Ensure the checkbox for "Filter is Enabled" is selected and then click "OK".
  • In the filter list locate the newly created filter and double click to open the filter criteria window.
  • Double click the criteria "All Messages - Process this filter actions for all messages".
  • Tick the check box for "Enabled" to enable the criteria.
  • Click "OK" to close the "Criteria Properties" window.
  • In the "Actions" section click the "Add Action..." button to oen the actions list.
  • Double click the action for "Add Message Header"
  • Ensure the tick box for "Enabled" is selected.
  • In the "Header item" field specify the following: X-Auto-Response-Suppress:
  • In the "Header value" field specify: OOF
  • Click "OK"
  • Click "Close".

A solution can also be applied in the Professional version of MailEnable. This requires a global level filter. Please see steps below:

  • Open the MailEnable Professional administration console.
  • Expand: Messaging Manager.
  • Right click on "Filters" and select "Create New Filter".
  • Specify a name for the new filter. i.e: Auto Responder Redirect Filter
  • Ensure the checkbox for "Filter is Enabled" is selected and then click "OK".
  • Click on the "Filters" node to list filters and locate the newly created filter and double click the filter to open the filter criteria list.
  • Double click the criteria "Where the To header line contains specific words".
  • Tick the check box for "Enabled" to enable the criteria and then select the option for "Use short word list".
  • In the short word list field specify the original sender address of the message embraced with wildcards, I.e.: *test@exampledomain.com* then click the "Add" button to add the criteria to the "List:" section.
  • Click "OK" to close the "Criteria Properties" window.
  • In the "Actions" section click the "Add Action..." button to oen the actions list.
  • Double click the action for "Add Message Header"
  • Ensure the tick box for "Enabled" is selected.
  • In the "Header item" field specify the following: X-Auto-Response-Suppress:
  • In the "Header value" field specify: OOF
  • Click "OK"
  • Click "Close".
